Summary:
The EES Program Assistant will provide the administrative support for Entitlement Eligibility Services.
Essential Accountabilities:
Maintain and updates Alpha/Medicaid Tracker.
Prepare Monthly PNAs (Personal Needs Allowances).
Prepare spreadsheets for Monthly Allowances.
Prepare Biweekly Allowances.
Prepare monthly SNAP retrieval spreadsheets.
Orders supplies and equipment.
Updates FEs (Financial Eligibility) in Avatar.
Monitor Appolio balances.
Develops and maintains tracking systems including computerized excel (consumer program / residential listings) and / or other databases (Avatar, Onbase, Kofax) etc.
Maintain and encourage confidentiality in respect to HIPPA laws at all times.
Generates and distributes internal memos, postings and / or other printed materials.
Completes all tasks related to processing of incoming and outgoing mail, receives, reads, sorts and distributes etc.
Record minutes at all trainings, presentations and staff meetings as requested.
Receives, screens and routes incoming telephone calls and / or relay phone messages to support staff.
Periodically opens and distributes mail and faxes in the department in a timely fashion.
Assist in organizing special projects.
Compose correspondence, memorandums and reports as instructed.
Works and / or attends staff meetings / trainings at various sites other than regular work site.
Schedule appointments and arrange meetings if required for the departmental staff as needed.
Plan office celebrations for different events and achievements.
Use initiative and judgment in matters requiring immediate attention and response.
Complies with all agency and department policies and procedures.
Performs other related duties as assigned.

Job Qualifications High School Diploma or equivalency required.
Some college or graduate from a secretarial school preferred with minimum three years secretarial experience.
Good customer service and interpersonal skills, and demonstrates the ability to read typed and written materials; work flexible schedules and have a proficiency with Microsoft Word and Excel.
Must have good judgment, be multi-task oriented with excellent organizational skills and the ability to prioritize tasks as well as the inventiveness and the capability to work independently.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
